Ocean Walker Academy – Terms and Conditions
GROUP BOOKINGS
BOOKINGS
- Bookings to be made using our booking form following discussion and agreement with regards to your chosen activities, date and duration.
- Bookings to be made by an adult (18years+)
- Bookings require advance notice, please contact us to discuss your requirements and depending on the type of booking will depend on the amount of notice required to arrange.
- Under 18's to always be surpervised by adult/carer/parent/teacher/guardian while on site.
- We require both a booking form and payment to secure your booking. Your booking is not agreed until payment is made, and we will require payment upto 14days prior of your event date made in full.
- By filling out our booking form, we can then arrange to send an invoice for payment by bank transfer.
CANCELLATIONS
- To cancel your booking, we require 14 days notice where a full refund will be arranged less any costs that may have been incurred to the business (eg. catering, staff, processing fees etc).
- To cancel please contact us in writing over email to: reception@oceanwalkeracademy.com confirming the date and activity you wish to cancel.
- Cancellation of a booking within the 14 day notice period is non-refundable.
- Where an agreed deposit payment has been made, the deposit is non-refundable.
RESCHEDULING
- If we need to move your booking to an alternative date (due to the weather or other reasons), then we will contact you with as much notice as possible.
- If you would like to change your booking date, please provide at least 14 days notice to avoid any fees/loss of any agreed deposit.
ACTIVITY TYPES
Lifeguarded (no instruction)
Paddlesports (Kayaking and SUP)
- Lifejackets are provided (mandatory)
- Lifeguard will be provided for your session
- You and your group members must be able to swim at least 100m in a pool
- Wear suitable clothing for the season, we recommend legs being covered (protects your knees on a SUP) moisture wicking clothing/sportswear. Prepare to get wet! A change of clothes is recommended for afterward should you fall in - please discuss with our team to ensure your group know what equipment they should bring with them.
Open Water Swimming
- Swim Cap, Swimsuit/Trunks (mandatory)
- Goggles are mandatory if you are swimming with your head underwater
- We have a small selection of wetsuits available for hire on the day
- Bring your own swim kit as detailed above plus any additional swimwear to suit the season - please discuss with our team to ensure your group know what equipment they should bring with them.
- Lifeguard will be provided for your session
- You and your group members must be able to swim at least 100m in a pool.
- For anyone who is not so confident in the water we have a shallow area where you can swim or float about right next to the lifeguard.
- Under 16's must wear a tow float while swimming in open water (unless a waiver is signed)
- Under 14's must wear a wetsuit in water 15 degrees celcius or below (unless a waiver is signed)
Coached/Instructed Sessions
Learn to SUP
- Lifejackets are provided (mandatory)
- Instructor will run the session and provide safety for your group
- You and your group members must be able to swim at least 100m in a pool
- Wear suitable clothing for the season, we recommend legs being covered (protects your knees on a SUP) moisture wicking clothing/sportswear. Prepare to get wet! A change of clothes is recommended for afterward should you fall in - please discuss with our team to ensure your group know what equipment they should bring with them.
Open Water Swimming - Taster or Technique
- Swim Cap, Swimsuit/Trunks (mandatory)
- Goggles are mandatory if you are swimming with your head underwater
- We have a small selection of wetsuits available for hire on the day
- Bring your own swim kit as detailed above plus any additional swimwear to suit the season - please discuss with our team to ensure your group know what equipment they should bring with them.
- Instruction will be procvided for your session
- Lifeguard will be provided for your session
- You and your group members must be able to swim at least 100m in a pool.
- Under 16's must wear a tow float while swimming in open water (unless a waiver is signed)
- Under 14's must wear a wetsuit in water 15 degrees celcius or below (unless a waiver is signed)
Yoga (land based)
- Wear your usual workout clothing (leggings/joggers/tee/layers)
- We will provide you with mats, blocks and straps - unless otherwise detailed on your booking
- Please feel free to bring your own equipment, bring your own blanket for Savasana.
- Class will run outdoors if the weather permits, or indoors in our wellbeing barn (which is a no-shoe zone).
- Please advise ability level of your group upon booking so our instructor can plan your session best for you.
Yoga on a Paddleboard (SUP Yoga)
- Lifejackets are not worn for this session
- Instructor will run the session and provide safety for your group
- You and your group members must be able to swim at least 100m in a pool
- Wear suitable clothing for the season, we recommend legs being covered (protects your knees on a SUP) moisture wicking clothing/sportswear. Prepare to get wet! A change of clothes is recommended for afterward should you fall in.
- No experience in Yoga or Paddleboarding necessary
Guided Meditation with Crystal Healing
- This session will run indoors in our wellbeing barn, which is a no-shoe zone
- Mats are provided along with a selection of our own crystals for use during the session
- Bring your own blanket, you may also wish to bring blackout eye mask and a pillow/cushion - make yourself comfortable
ABILITY
- Please check the ability level of the class/session prior to booking to ensure it is suitable for you, this is for your own safety and enjoyment.
- It is your responsibility to ensure that you are able to participate in the activity you are booking, taking into consideration your health and fitness or any other factors that may make participating dangerous or a concern for you.
EQUIPMENT
- Please note what equipment (if any) you are required to bring with you for the class/session.
- Details of equipment provided by Ocean Walker Academy will be detailed above or on your booking form
GENERAL
Use of the surrounding Ocean Walker Academy grounds or wellbeing barn is not permitted under any circumstance without prior booking consent in addition to the activity type you are booking.
The hirer shall not sub-let the booking(s) that has been agreed and if found to do so, the hirer will forfeit the remainder of the block of sessions and be liable for the full cost of the allocated sessions.
Where a booking involves children participating in activities 16 years and under the hirer should ensure constant supervision during their time on site and provide adequate ratio of adult to children during this time. Prior consent must be granted with regards to children being allowed to use the facilities. A DBS certificate or Safeguarding certificate may be requested depending on the type of booking/activity.
Hirers must report any accident, injury or damage immediately to the Ocean Walker Academy Manager.
No structural or other alterations shall be made to the fabric of the site, buildings, fixtures or fittings.
We do not allow own food and drink to be brought onto site. If you require lunch/refreshments this should be arranged as part of your booking in advance.
Cars should be parked in the car parking area provided, but are at the sole risk of the owner.
Spectators/non-participants are not allowed onsite or in the car park.
The carpark is for the sole us of those who have booked a session at the venue. Anyone found loitering or using the car park who have not booked a session will be asked to leave. The carpark is not a waiting area – and as such at no point should children or animals be left in cars during your time
Alcohol and/or illegal drugs are not permitted and must not be brought to the premises. The hirer and user shall not be under the influence of alcohol or illegal drugs at the time of the hire.
We are a strictly no smoking site, which extends to the car park area. Anyone caught smoking will be asked to leave the site.
Strictly no picnics on lakeside to avoid accidental dropping of litter or food in or around the lake.
Filming/Photography – allowed at Ocean Walker Academy
- for commercial or promotional purposes of hire will be agreed at the time of booking
- for personal use
Filming/Photography – not allowed at Ocean Walker Academy
- for commercial purposes (unless agreed in the hire agreement)
- drone footage/photography (unless agreed in the hire agreement)
- of the house/home/private area of the property under any circumstance.
WAIVER AGREEMENT
The below Waiver Agreement is a general all encompassing agreement covering the many activities we run at Ocean Walker Academy as a whole. Please ensure you have read the TERMS AND CONDITIONS prior to booking in relation to your chosen activity/class/session
At Ocean Walker Academy we take your health and safety seriously. By being onsite in and around open water, you are taking full responsibility of ensuring you are confident and capable of taking part in the chosen activity or if not participating in an activity that you agree to our terms during your time at the venue. We wish to highlight that water-based or land activities can be potentially hazardous and that participation can lead to risk of injury and even death in exceptional circumstances.
I the Participant or Parent/Guardian of Participant(s), confirm as follows:
1. I understand and accept that in participating in activities at Ocean Walker Academy that there is an element of danger and risk of physical or emotional injury to both the participant(s) and others and consequently the participant(s) is/are to undertake to use Ocean Walker Academy equipment and facilities (the “Facilities”) and to conduct themselves while on Ocean Walker Academy premises, in a sensible and responsible manner and in compliance with all notices, instructions and directions as published or displayed from time to time and in compliance with any instruction given to the participant(s) by an authorised person in Ocean Walker Academy control.
2. That the participant(s) is/are in a good state of health and free from any injury, medical condition, disease, or illness which may be aggravated by participating in activities at Ocean Walker Academy or which may make it unsuitable for the participant(s) to take part in such activities. Additionally, the participant(s) does/do not have any medical condition that may make the activities more dangerous or may increase any risk of injury to the participant(s) or others or make more likely that the participant(s) will be involved in an accident which could result in any form injury during the activity.
3. I acknowledge and agree that the participant(s) is/are responsible for their own safety and the safety of others whilst participating in activities. I understand that the activities may be undertaken without direct supervision following safety instructions.
4. I agree that the participant(s) will only carry out movements/actions that are within the participant(s)’s skill and fitness levels and of which the participant(s) is/are able to retain control of at all times. That the participant(s) will also only use features that the participant(s) has/have the ability to use within the participant(s)’s skill and fitness levels. Movements/actions and use of features are performed entirely at the participant(s)’s own risk and I will not hold Ocean Walker Academy liable for any injury the participant(s) may attain whilst participating in these activities.
5. I agree and promise to ensure the participant(s) accept(s) to be responsible for any and all risks existing and subsisting in the activities. I acknowledge that participation in the activities is voluntary and that the participant(s) elect(s) to participate despite of the risks and agrees to accept the consequences of so doing.
6. That the participant(s) will not use Ocean Walker Academy facilities and activities whilst under the influence of any drugs or alcohol.
7. That I will fully indemnify Ocean Walker Academy, its agents and employees against any claim brought by a third party for loss, damage, injury or death which has been caused by any action or omission of mine or any act or omission of any participant(s) of which I am the lawful parent or guardian or any participant(s) whose supervision is wholly or partly my responsibility at the time of the relevant act or omission that would, if they had agreed to the same with full capacity to do so, amount to a breach of these Terms and Conditions or which amounts to negligence or a wilful act or omission.
8. That when accompanying a child or children under the age of 14 years, I will comply and ensure that the child or children are safe and looked after. I will be present on site at all times and will not leave them unattended.
9. I confirm and agree that the participant(s) will comply with all age and height restrictions specified by Ocean Walker Academy from time to time. The participant(s) acknowledge(s) that if they do not comply with any age or height restrictions or any other requirements put in place by Ocean Walker Academy from time to time, they will not be able to participate in the activities and agree that they will promptly withdraw upon request by Ocean Walker Academy.
10. I acknowledge that nothing in these Terms and Conditions is intended to avoid liability, on the part of Ocean Walker Academy, for personal injury or death caused by the negligence of wilful act of its authorised person or agents.
11. I and as parent or legal guardian of any accompanying children give consent and agree to Ocean Walker Academy photographing and/or recording(s) myself and any accompanying children and to use any such photographs and/or recording solely and only for Ocean Walker Academy advertising and promotional purposes. Any accompanying minors and I hereby waives any right to inspect or approve the use of any such material and acknowledge and agree that the rights to use such material shall not require payment or compensation of any kind to be made by Ocean Walker Academy to myself and/or any accompanying children. I am fully aware that I must contact a manager of Ocean Walker Academy if I do not wish to be a part.
12. The participant(s) consent(s) and agree(s) to the use by Ocean Walker Academy of CCTV monitoring for training, health and safety and security purposes.
13. Ocean Walker Academy consents to the participant(s) and accompanying members of their group undertaking photography for their own non-commercial purposes only and for no other purpose whatsoever. However, the participant(s) and accompanying members of their group are not to use any drone type equipment at Ocean Walker Academy, without seeking the correct permit(s), having the required training, license(s) and insurance, with supporting documentation being available, to operate the equipment, before seeking the approval of the senior management at Ocean Walker Academy.
14. The participant(s) acknowledge(s) that Ocean Walker Academy is not and shall not be liable for any damage or loss to themselves, any third parties or property incurred whilst the participant(s) is/are undertaking the activities or are on the premises of Ocean Walker Academy.
15. That I may be asked for proof of ID at any age. I must be able to produce documents if necessary. Failure to do so can result in being refused to partake in activities.
16. I confirm that I have read the above and adhere to the guidance set by the staff.
17. I confirm I am over the age of 18 years, signing for myself or as the Parent/Guardian for anyone under the age of 18 years visiting the venue.
